With Upflow, you can personalize the content of your email and input specific information regarding the status of your unpaid invoices. It will help you saving some time and providing accurate information to your late-paying customers.
To change the template of your emails (either manual or automatic), click on your company logo (bottom left) > Workflows. Then select the workflow and the action you'd like to edit.
In the template email action, you can use tags. These tags are variables that will be replaced by the corresponding text values in your email once your action will become due.
Here are the variables you can currently use:
{my_company_name} The name of your company
{customer_name} The name of your customer
{parent_customer_name} : The name of the parent customer
{customer_external_id} The customer external ID (if you're using it)
{customer_summary_link_start} To insert a link towards your customer summary page, input a text between those two variables {customer_summary_link_end}
{user_name} The full name of the user performing the action
{carrying_invoice_ref} The reference of the most overdue invoice
{carrying_invoice_amount} The net amount of the most overdue invoice for this customer
{carrying_invoice_amount_outstanding} The outstanding amount of the most overdue invoice for this customer
{carrying_invoice_issue_date} The issue date of the most overdue invoice.
{carrying_invoice_days_since_issue_date} The number of days since the issue date of the most overdue invoice.
{carrying_invoice_days_to_issue_date} The number of days to the issue date of the most overdue invoice.
{carrying_invoice_due_date} The due date of the most overdue invoice.
{carrying_invoice_days_since_due_date} The number of days since the due date of the most overdue invoice.
{carrying_invoice_days_to_due_date} The number of days to the due date of the most overdue invoice.
{carrying_invoice_link_start} {carrying_invoice_ref}{carrying_invoice_link_end} To display a link towards the most overdue invoice, place your text between the two tags. You can only insert a download link on the carrying invoice which is the oldest invoice, otherwise, you can just use the customer portal link.
{account_manager_full_name} The full name of the account manager from your team in charge of this Customer.
{account_manager_first_name} The first name of the account manager (in your team) in charge of this Customer.
{account_manager_last_name} The last name of the account manager (in your team) in charge of this Customer
{account_manager_email} The email of the account manager (in your team) in charge of this Customer
{main_contact_full_name} The full name of the main contact at this Customer
{main_contact_first_name} The first name of the main contact at this Customer
{main_contact_last_name} The last name of the main contact at this Customer
{customer_outstanding_amount} The total amount due by this Customer. This amount includes all types of invoices at the time the email is sent (due and overdue), and excludes disputed invoices amount. This amount is netted of all unlinked credit notes and payments (if any) that are attached to this Customer.
{customer_due_amount} The total amount due (but not overdue) by this Customer at the time the email is sent. It excludes disputed invoices amount.
{customer_overdue_amount} The total amount overdue by this Customer at the time the email is sent, excluding the disputed invoices amount.
{due_invoice_reference_list} The list of references of due invoices. Example : FA24U1, FA4724, FA7248
{overdue_invoice_reference_list} The list of references of overdue invoices.
{last_collection_date} The date of the last collection action
{carrying_invoice_title}: The invoice's title
